How to write a handyman estimate | Explained by a working pro with a real template
8 items a handyman estimate needs
| Item | How to write it |
|---|---|
| 1. Document number | Manage by year-month + serial number, like "EST-2607-001." Easy to link to the later invoice |
| 2. Issue date & validity | Validity of 2 weeks to 1 month. Shorter for jobs where material costs fluctuate |
| 3. Addressee | "Mr./Ms." for private homes; company name + contact person when through a management company |
| 4. Work details (line items) | Avoid "all included"; use a separate line for each task (see below) |
| 5. Travel fee | A separate line, not included in labor. Even if free, state "Travel fee ¥0" |
| 6. Disposal fee | If junk removal is involved, state the items and quantity |
| 7. Consumption tax | Always state whether tax is included or excluded. Tax-inclusive display is friendlier for private homes |
| 8. Payment terms | Cash on completion / bank transfer later, etc. |
Example: estimate for cutting down a garden tree + dismantling a shed
How to write a combined request that is common on real sites.
| Item / work | Qty | Unit price | Amount |
|---|---|---|---|
| Garden tree removal (one 3 m pine) | 1 | 15,000 | 15,000 |
| Disposal of the cut tree | 1 | 8,000 | 8,000 |
| Steel shed dismantling (1.8 m wide) | 1 | 12,000 | 12,000 |
| Disposal of shed materials | 1 | 10,000 | 10,000 |
| Travel fee (within Sapporo) | 1 | 0 | 0 |
| Total (tax incl.) | ¥45,000 | ||
The key point is toseparate labor and disposal fees. If you lump it as "tree removal ¥23,000," customers can't compare it to market rates and feel uneasy. Listing them separately makes them understand "disposal costs quite a bit," and price negotiations turn into constructive talk like offering to bring the waste in themselves.
3 points to prevent trouble
1. Write how additional work is handled in the notes
Add a sentence to the notes such as "If additional requests arise during work, we will quote on the spot and start after your approval." This prevents the "while you're here, could you also…" problem on the day.
2. Attach photos to the estimate
Keeping photos from the site survey together with the estimate prevents "he said, she said" disputes. Before-and-after photos also serve as evidence when invoicing.
3. Eliminate copying errors from estimate to invoice
Recreating an invoice from an estimate by hand or in Excel often leads to copying errors in amounts. Using software that automatically generates an invoice when an estimate becomes an order eliminates these accidents.
Making estimate creation more efficient
The author built his own business management software, "Flexsys," for his handyman work. Estimates → invoices → receipts flow in one line, and photos can be attached to documents. It can also draft estimates by smartphone voice input, so the estimate is almost done in the car on the way back from the site.
